Our mission at Mentorloop is to make mentoring more accessible to everyone. We exist to make it easier for people to form and maintain meaningful mentoring relationships. We believe the magic of mentoring lies in human connection — a connection that simply cannot be replaced by a machine.
That said, we are always on the lookout for new technologies that can help people build great mentoring relationships. Naturally, that includes generative AI.. We’re not in the business of robot mentors – we would never use generative AI to replace an authentic mentoring relationship. But we are excited about the potential for generative AI to help break the ice, set an agenda, provide structure, and build momentum in a mentoring journey.
Our use of AI is, and will always be, about enhancing human connection, not replacing it.
AI excels at automating repetitive, administrative, and time-consuming tasks. This frees people to focus on strategic and creative thinking, experiential learning, and relationship building.
For Mentorloop, that means using AI to make mentoring more accessible, scalable, and efficient, so that more people can experience its benefits. Program coordinators can spend less time interpreting data and managing admin, and more time supporting mentors and mentees, while developing strategies to scale mentoring across their organisations. For mentors, this means more time to share knowledge and wisdom. For mentees, it means more space to focus on learning and growth.
By using AI to remove friction from both the mentoring process and program administration, we empower coordinators, mentors, and mentees to place even greater focus on the human connection at the heart of mentoring.
Why We Use AI to Strengthen Mentoring
We believe AI can enhance mentoring in the following ways:
- Streamline processes: Tasks such as creating meeting agendas or summarising notes can be automated, making preparation significantly faster. This allows meetings to focus on meaningful discussion and learning rather than administrative planning.
- Support engagement: Timely prompts, check-ins, and reminders are delivered based on each participant’s progress rather than a fixed schedule, ensuring support arrives when it’s needed most.
- Improve matching: AI-assisted recommendations help connect people with the most compatible mentoring partners while avoiding regressive or biased patterns. Our goal is for the entire program cohort to receive the best possible matches without compromising match quality.
- Provide actionable insights: For program coordinators, AI surfaces metrics on program health, engagement, and outcomes, and suggests ways to act on them. This reduces time spent on analysis and increases time available for participant support and program growth.
These uses all support our overarching goal: to amplify human potential by ensuring mentors spend less time on logistics and more time imparting wisdom, while mentees focus on achieving their goals.
Where AI Adds Value in the Mentoring Journey
AI features in Mentorloop are designed to fit naturally into the existing mentoring workflow and appear only where they can genuinely add value.
Examples include:
- Ice-breakers: Suggesting conversation starters to make first meetings more comfortable.
- Meeting agendas: Recommending agendas for upcoming sessions based on past notes, set goals, and progress.
- Goal planning: Offering step-by-step recommendations to help participants achieve goals set within their mentoring relationship.
- Progress tracking: Nudging participants who haven’t engaged for a while or are behind on agreed actions.
- Matching recommendations: Helping coordinators find strong matches between participants using profile data and stated preferences.
- Meeting summaries: Producing concise summaries from meeting notes for easy reference.
All AI-powered tools in Mentorloop are optional. When AI is available, it is clearly marked with this icon: ✨. The decision to use these tools rests entirely with the user, ensuring the human element remains in control.
Our AI Principles and Ethical Use Commitments
Our approach to AI is guided by five principles:
- Human-first: AI will never replace the mentoring relationship itself.
- Opt-in use: AI features are always optional and user-controlled.
- Transparency: We will always clearly explain when AI is being used and what it is doing.
- Privacy by design: We design AI features with data protection as a first priority and maintain strict compliance with privacy laws.
- Enhancement, not automation: AI is here to support and improve mentoring, not to run it without human input.
Your Data and AI: Protecting Privacy Every Step of the Way
Trust is essential to mentoring and that includes trust in how we handle your data. So we want to ensure you know what happens to your data when you use AI in Mentorloop.
When you use an AI feature in Mentorloop:
- Only the data needed for that specific task is shared with the AI model (e.g., previous meeting notes and goals for agenda creation).
- Personally identifiable information (names, email addresses, or contact details) is never included in prompts sent to the AI.
- Data sent to the AI is not stored outside Mentorloop.
- Your data is not used to train AI models
As part of our ethical AI practices, Mentorloop has entered into a formal Data Processing Addendum (DPA) with OpenAI for our generative AI features. This agreement provides legally binding commitments on how data is processed, stored, and protected, going beyond the protections available to individual users of AI services. It ensures that any information shared with the AI via our platform is handled in strict accordance with GDPR, the Australian Privacy Act, and other applicable privacy regulations. Under the terms of this agreement, data is retained only for short periods for operational purposes, is encrypted in transit and at rest, and is never used to train OpenAI’s models. These contractual safeguards give our customers an additional layer of assurance that their information remains private, secure, and solely in their control.
Our dedication to privacy is reflected in our product design, transparent data usage disclosures, and opt-in model, where users give explicit consent for any data use that enhances the mentoring experience. We comply with GDPR, the Australian Privacy Act, and other applicable regulations, and continually review our practices to ensure they evolve alongside technology.

AI will continue to advance, and we will continue to explore new ways to integrate it into Mentorloop without ever sacrificing our human-first approach. Any new use will follow the same principles we apply today.
